The President serves as the chief executive officer of the PTA, ensuring that all activities align with the mission and bylaws of the organization. Their responsibilities include:
Presiding over all PTA meetings, including those of the board of directors and executive committee.
Coordinating the work of officers and committees to ensure PTA objectives are met.
Acting as an ex officio member of all committees, except the nominating committee.
Reviewing and initialing monthly bank statements for financial accountability.
Representing the PTA at all council meetings or designating an alternate representative.
Signing contracts and representing the PTA at school-wide events.
Performing other duties as prescribed by the bylaws or assigned by the board of directors.
The Vice Presidents assist the President and help oversee the PTA’s operations. Their duties include:
Acting as aides to the President, helping to manage PTA programs and initiatives.
Assuming the President’s duties in their absence, in the order designated.
Overseeing specific committees or initiatives assigned by the board.
Assisting with event planning, volunteer coordination, and fundraising efforts.
Ensuring effective communication between the PTA, parents, and school administration.
Performing additional duties as assigned by the PTA or board of directors.
The Treasurer is responsible for the financial health of the PTA, ensuring transparency and compliance with regulations. Their key responsibilities include:
Managing custody of all PTA funds and maintaining accurate financial records.
Reconciling bank statements monthly and ensuring financial integrity.
Disbursing funds as authorized by the President or board in alignment with the approved budget.
Presenting a written financial statement at each PTA meeting, including executive, board, and general membership meetings.
Preparing a comprehensive financial report before newly elected officers assume duties.
Maintaining books and financial records per PTA bylaws and regulations.
Preparing and filing necessary tax forms and submitting copies to the Maryland PTA office.
Arranging for an audit of financial records at the end of the fiscal year or when a new treasurer takes office.
Performing additional duties as assigned by the PTA or board of directors.
The Secretary is responsible for maintaining official PTA records and ensuring organized communication. Their duties include:
Recording minutes for all PTA, board of directors, and executive committee meetings.
Being prepared to read and present minutes from previous meetings as needed.
Filing and maintaining all PTA records in an organized manner.
Keeping an up-to-date copy of the bylaws for reference and compliance.
Maintaining the current PTA membership list.
Handling official correspondence and distributing meeting agendas and notes.
